Status definitions

Calibration statuses: current, due soon, overdue, and out of service

A status is a signal for action, not a substitute for your quality procedure. GagePilot uses the next due date and recorded results to make exceptions visible across the register and overview.

Status definitions

StatusMeaningTypical next action
CurrentThe next due date is more than 30 days away.Continue normal control and retain the record.
Due soonThe next due date is within 30 days.Schedule the work or confirm the provider plan.
OverdueThe next due date has passed.Follow your procedure for overdue instruments and keep the exception visible.
Out of serviceA failed calibration or manual decision makes the instrument unavailable.Prevent use and follow evaluation, repair, recall, or disposition procedures.

Why status needs context

The software can show that a date has passed, but it cannot determine whether an extension, risk assessment, or interval change is acceptable for your quality system. Use the status to start the conversation and your approved procedure to make the decision.

Keep statuses accurate

  • Update the next due date when a calibration is completed.
  • Record failed results instead of hiding the instrument from the register.
  • Assign owners so due and overdue work has a clear responder.
  • Review the queue regularly rather than waiting for an audit.
